01 — Booking and reservations
You can book three ways: call 206-747-0485 for 24/7 dispatch, email info@nwcarservices.com, or submit a reservation request online. Give us the date, pickup and destination, passenger count, and luggage, and we return a quoted fare and written confirmation.
We recommend at least 24 hours for airport and cruise transfers, and earlier for pre-dawn pickups, holidays, summer cruise weekends, and group bookings needing multiple vehicles. Same-day requests are accommodated whenever fleet availability allows.
Yes, whenever a vehicle is available. Call 206-747-0485 rather than emailing for anything same-day — dispatch answers around the clock and can tell you immediately whether we can cover it.
Yes. Every reservation is confirmed in writing with your vehicle class, pickup time and location, pickup protocol, and quoted fare. If you have not received confirmation, the booking is not complete — call us.
Yes. Round trips are booked as a single reservation with both legs confirmed at once, which is the reliable way to handle a return when you are landing late or sailing back into Seattle.
Yes. Regular commutes, weekly appointments, and repeating corporate schedules are set up as standing reservations so you are not rebooking each time. Contact info@nwcarservices.com to arrange one.
02 — Pricing and payment
Every fare is quoted upfront using starting-from rates that adjust for distance, vehicle class, and time of day. There are no meters and no surge pricing. The quote you approve is the amount you pay.
The vehicle and professional chauffeur, all fuel, standard wait time, real-time flight tracking on airport transfers, tolls and standard parking along the route, bottled water, child car seats on request, and luggage assistance.
Meet and Greet at $50, extended wait beyond the included grace period, additional stops not listed at booking, gratuity, hourly overage beyond a reserved block, cross-border travel to Vancouver BC, and peak-period rates on holidays and major event dates. Every one of these is disclosed at the time of quoting.
No. Fares do not multiply because it is raining, because a game let out, or because demand spiked. Peak-period rates on holidays and major event dates are disclosed when you are quoted, before you book.
Gratuity is always at your discretion and is not automatically added to point-to-point fares. If you would like it included in advance, tell dispatch at booking and we will add it to the quote.
Major credit and debit cards for individual bookings. Corporate accounts are invoiced on consolidated monthly billing. Contact dispatch if you need a specific payment arrangement.
A card is taken to hold the reservation, and the fare is processed after the ride is complete so the final receipt reflects any agreed additions. You are never charged for something that was not agreed first.
Yes. An itemized receipt is issued for every ride, and corporate accounts receive consolidated monthly statements suitable for expense and procurement reporting.
03 — Airport transfers
Your chauffeur tracks your flight in real time and meets you curbside at the baggage claim level. Once you have collected your luggage, we text the exact door number where your vehicle is waiting. There is no garage walk and no hunting for a car.
Meet and Greet is a $50 add-on where your chauffeur waits inside the terminal holding a name sign and assists with luggage from the moment you arrive at baggage claim. It is optional — standard service is curbside pickup at your baggage claim door.
Nothing changes on your end, and there is no charge. We track every inbound flight and adjust your pickup automatically, whether you land early or hours late.
Domestic arrivals include a standard grace period after landing, and international arrivals include a longer window for customs and immigration. Because your chauffeur tracks the flight, the clock starts at actual landing time rather than scheduled arrival. Extended wait is billed in increments and quoted at booking.
Pickup is timed backward from your check-in window, accounting for the route, the time of day, and typical security waits. Tell dispatch your flight time and terminal and we set the pickup rather than asking you to guess.
Roughly 14 miles and typically 25 to 45 minutes, depending on time of day. Weekday morning and late-afternoon periods run longest.
Yes. We serve Boeing Field (BFI) including FBO and private terminal access with tail-number coordination, and Paine Field (PAE) in Everett with curbside terminal pickup.
04 — Cruise terminals
Yes, to both — Pier 66, the Bell Street Cruise Terminal on Alaskan Way downtown, and Pier 91, the Smith Cove Cruise Terminal in Magnolia. We serve them from SeaTac, downtown hotels, and homes across the region.
We time departures to your cruise line's boarding window rather than to a generic hour, and monitor terminal traffic on peak sailing days. Give dispatch your ship, pier, and boarding time and we set the pickup.
Cruise passengers travel heavier than airline passengers, so dispatch will usually size you up a class. A party of four sailing for a week is typically a Suburban or Metris booking rather than a sedan.
Yes. Disembarkation pickups are booked with luggage capacity to match, and we schedule around your ship's actual clearance rather than the published time. Returns go to the airport, a hotel, or home.
Yes. Groups are coordinated under one point of contact and one quote, with vehicles timed to arrive together rather than trickling in across twenty minutes.
05 — Vehicles and luggage
Four classes: the Lincoln MKT sedan (3 passengers, 3 bags), the Chevrolet Suburban SUV (6 passengers, 6 bags), the Mercedes-Benz Metris van (7 passengers, 6 bags), and the Mercedes-Benz Sprinter van (14 passengers, 14 bags).
The Lincoln MKT carries 3 standard checked bags, the Suburban 6, the Metris 6, and the Sprinter up to 14. Those figures assume standard checked luggage of roughly 27 inches — larger cases count as more than one.
Yes, in the right vehicle. A ski bag occupies roughly the space of two checked bags, and two full golf sets will not fit a sedan trunk alongside passenger luggage. Tell dispatch what you are bringing and we will size the vehicle correctly.
Yes — infant, convertible, and booster seats are available on request at no additional charge. Give us the child's age and weight at booking so the correct seat is installed before pickup.
Our standard fleet is not wheelchair-lift equipped. The Metris and Sprinter offer low step-in height and wide door openings that accommodate many mobility needs, and folding wheelchairs and walkers are stowed at no charge. Call 206-747-0485 to discuss specific requirements.
Yes. Vehicle class is selected at booking and confirmed in writing. Requests are honored subject to availability, and dispatch tells you at booking if a class is unavailable — not afterward.
Service animals are always welcome. For other pets, tell dispatch at booking so we can assign a suitable vehicle and prepare it — please do not arrive with an unannounced animal.
Bottled water is provided. Open alcohol is not permitted in the vehicle under Washington State law. For wine tours, purchases travel sealed.
06 — Chauffeurs and safety
Yes. Every chauffeur holds appropriate Washington State licensing, passes a criminal background check and motor vehicle record review, and completes training in defensive driving, passenger safety, and service protocol before carrying passengers.
Commercial automobile liability coverage of $1M or greater, well above personal auto and rideshare policy levels, plus the licensing and permits required for commercial passenger transportation in Washington State. Certificates of insurance are available to corporate clients on request.
Vehicles run a scheduled mechanical and safety inspection cycle rather than being serviced on failure, and every vehicle is inspected and cleaned inside and out before each reservation.
Yes, wherever scheduling allows. Repeat clients and corporate accounts can request preferred chauffeur assignment, which we honor subject to availability.
Yes. The Chevrolet Suburban is the recommended vehicle for Snoqualmie Pass, Crystal Mountain, and Stevens Pass travel in winter, and the fleet is equipped for Northwest rain, ice, and pass conditions.
Call 206-747-0485. Dispatch is staffed around the clock and can reach your chauffeur directly, reroute, or send another vehicle. You are dealing with the operator, not a broker or an app queue.
07 — Corporate accounts
Yes. Corporate accounts include a dedicated point of contact, consolidated monthly invoicing, roadshow and multi-stop coordination, preferred chauffeur assignment on request, and priority availability. Email info@nwcarservices.com to open one.
Yes. Certificates of insurance, licensing documentation, and the paperwork procurement teams typically require are provided on request.
Yes. Multi-vehicle movements are coordinated under a single point of contact and a single quote, with arrivals timed together. Conferences, offsites, delegations, and weddings are handled this way regularly.
Point-to-point is quoted for a defined route from pickup to destination and suits airport transfers and single trips. Hourly charter reserves the vehicle and chauffeur for a block of time with unlimited stops in the region, which suits roadshows, wine tours, and days where the itinerary may change.
08 — Service area and long distance
The greater Puget Sound region across King, Pierce, Snohomish, Kitsap, Thurston, and Skagit counties — Seattle, Bellevue, Tacoma, Everett, Kirkland, Redmond, Renton, Olympia, Gig Harbor, Bremerton, and Anacortes among others, plus SeaTac, Boeing Field, Paine Field, and both cruise terminals.
There is no zone surcharge. Fares are quoted upfront using starting-from rates that adjust with distance, so a pickup in Olympia or Anacortes is priced by its actual route rather than by an added out-of-area fee.
Yes. Long-distance service is quoted on request to Portland, Vancouver BC, Leavenworth, Whistler, the Olympic Peninsula, and the regional ski areas. One chauffeur drives the entire route at a single upfront fare.
Yes. Tell dispatch at booking so routing and documentation are arranged in advance. Cross-border travel is quoted individually and border wait times are built into the schedule.
Yes — Colman Dock, Edmonds, Mukilteo, Bainbridge, and Anacortes for San Juan Islands connections. Ferry-dependent routes are timed to sailing schedules and ferry fares are quoted as part of the trip.
09 — Changes and cancellations
Yes. Call 206-747-0485 or reply to your confirmation with the change. Time, pickup location, vehicle class, and passenger count can all be adjusted subject to availability, and we reissue the confirmation.
Cancellation terms are stated on your written confirmation and depend on the service and vehicle class — group bookings and Sprinter reservations carry longer notice periods than a single sedan transfer. The terms are always disclosed before you book, not after.
Tell your chauffeur. Additional stops not listed at booking are quoted and added to the fare — nothing appears on your receipt that was not agreed at the time.
Call dispatch at 206-747-0485. We are staffed 24/7 and can adjust the pickup, hold the vehicle, or reschedule the return leg while you are still in the air or at sea.
